Week of the Arctic / Arctic Interchange 2017 needs your help!

Fairbanks and UAF will welcome researchers, policy officials, and media from around the world from May 8–12, 2017. Take advantage of this great opportunity to meet and work with noteworthy attendees and represent our conference and university positively.

We are looking for lots of helpful volunteers for our events to run smoothly and professionally. In exchange, we’re offering anyone who volunteers for three or more time slots over the course of the week free public event registration (including meals and parking) during any day(s) you volunteer, as well as high-quality official event apparel, available exclusively to Interchange staff and volunteers!

Ways to help

Ambassador / Usher

Greet and provide general guidance and assistance to Arctic Interchange attendees regarding scheduling, directions, and resources. Represent our Fairbanks, UAF, and Arctic research communities in a positive way to a diverse, international group of visitors to the conference, and work closely with conference staff to answer questions and solve problems. Some foreign language experience preferred and willingness to be friendly and outgoing.

Special Event Setup

Assemble, move, and decorate special event venue(s) for dinner and/or entertainment with tables, seating, and promotional materials. Work with conference staff to meet banquet needs. Some work with hand tools and light power tools, as well as transportation to/from off-campus location, may be necessary.

Special Event Takedown

Deconstruct and transport event materials after conclusion. Work closely with Interchange staff to ensure venue is cleaned up appropriately. Some work with hand tools and light power tools, as well as transportation to/from off-campus event location, may be necessary.

Coffee Bar Attendant

Keep morning or afternoon coffee stations clean and moving. Interchange participants will fill their own coffee/tea/water, but attendants are asked to keep drinks and supplies stocked, and to direct guests to proper recycling, refuse, and resource stations.

Conference Prep and Setup

Assemble, move, and decorate conference areas on lower campus (Wood Center, Great Hall, and classroom buildings) with tables, seating, and promotional materials. Work with event staff and Facilities Services to meet conference needs. Some work with hand tools and light power tools may be necessary.

Conference room attendant and A/V tech

Assist Arctic Interchange and OIT staff, as well as conference participants, in the use and function of UAF facilities and smart classroom technology. Requires some additional training in presentation components and software (to be provided during volunteer orientation), though volunteers should have willingness or familiarity to work with smart classroom functions.

Conference Takedown and Cleanup

Deconstruct and transport conference materials around UAF lower campus after Arctic Interchange concludes. Work closely with conference staff to ensure conference sites are cleaned up appropriately. Some work with hand tools and light power tools may be necessary.

Field Trip Host

Escort visitor groups and keep them on schedule while touring various destinations around Fairbanks and the Interior.

Food Service / Dining Room Attendant

Guide conference attendees during meal times through dining locations and routines. Ensure proper credentials and indicate seating areas and disposal/recycling procedures. Represent the Arctic Interchange positively and professionally.

Registration Desk (UAF Campus)

Organize and distribute conference registration materials to participants. Understand and explain differences between conference events and schedules (orientation training will be provided). Work with Arctic Interchange officials and staff to ensure confusion and waiting times are kept to a minimum. Some bookkeeping and foreign language experience may be helpful.

Social Media / Photographer

Take pictures of important conference events and interaction, and post with messages to social media (Twitter, Facebook, Instagram). Involves coordination with UAF and conference marketing teams. Help to organize and assist other media organizations present for the event. Must possess a smartphone with camera and be able to download apps for Twitter, Instagram, and/or Facebook.
